Potomac Moving Company LLC (“Potomac Moving”, “we”, “us”) respects your privacy. This policy explains what information we collect when you request an estimate, hire us for a move, apply for a job, or browse usepmc.com, and how we use and protect it.
1. Information we collect
When you request an estimate or book a move
- Your name, email address, and phone number.
- The address you are moving from and the address you are moving to.
- Details about the move: preferred date, home or office size, access notes such as stairs or elevators, and any inventory or list of items you share with us.
- Notes from your conversations with our team about your move.
When you call us
- Calls to and from our team may be monitored or recorded for quality, training, and accuracy of your move details. If you prefer not to be recorded, let us know at the start of the call and we will be glad to continue by email or text.
When you hire us
- Payment information, which is handled by a third party payment processor. We do not store full card numbers on our own systems.
- Documents connected to your move, such as your estimate, bill of lading, and inventory sheets.
- Records we are required to keep as a licensed and insured household goods carrier, including obligations tied to our US DOT registration (USDOT 2966069).
When you apply for a job
- The information you submit through our application form, including your name, contact details, and work history.
- Screening information relevant to moving work, such as background and driving record checks, which we carry out where permitted by law and with your consent.
When you contact us or visit the website
- The contents of emails, form submissions, and text messages you send us.
- Standard technical information your browser provides, such as device type, approximate location, and the pages you viewed.
- Cookie and analytics data, managed through the cookie settings on our site. See section 7.
2. How we use your information
- To prepare your estimate and to plan, schedule, and carry out your move.
- To communicate with you about your move, including confirmations, arrival windows, crew updates, and follow up.
- To process payments and keep accurate business records.
- To review job applications and make hiring decisions.
- To meet our legal, insurance, tax, and transportation regulatory obligations.
- To improve our services and our website.
We do not sell your personal information.
3. Your home address and the contents of your home
We understand that the addresses you share, and any inventory of what is inside your home, are sensitive. We treat them that way. We use them only to plan and perform your move, we share them only with the people who need them to do that work, and we never sell them or use them for unrelated marketing.
4. Your move stays with our own team
We carry out moves with our own trucks and our own crews, including long distance moves. We do not hand your belongings, your addresses, or your inventory to an outside carrier, agent, or van line network to complete your move.
5. Who we share information with
We share your information only where it is needed to deliver your move or to run our business:
- Our crews and staff, who need the details to perform your move.
- Service providers that help us operate, such as our payment processor, scheduling and estimating software, text messaging and phone providers, and website analytics.
- Insurers and claims administrators, if a claim is filed relating to your move.
- Authorities or regulators, where we are required to by law, including transportation and safety regulations.
6. Text messages
If you give us your mobile number, we may text you about your move, including scheduling, confirmations, crew arrival updates, and follow up. Message and data rates may apply, and message frequency varies. You can opt out at any time by replying STOP to any message, and you can reply HELP for assistance. Opting out of texts will not affect your move; we will simply reach you by phone or email instead. We do not sell or share your mobile number with third parties for their own marketing.
7. Cookies and analytics
Our website uses cookies to make the site work, to remember your preferences, and to understand how visitors use our pages. You can manage your choices at any time using the cookie settings on our site, and you can control cookies in your browser settings. Some cookies are necessary for the website to function and cannot be turned off.
8. How long we keep it
We keep move records, estimates, bills of lading, and payment records for up to seven years, which reflects standard tax, insurance, and transportation record keeping requirements. Job application records are kept for at least one year and generally no longer than three years. When information is no longer needed, we securely dispose of it.
9. How we protect your information
We use reasonable safeguards to protect your information, including secure connections on our website, limiting access to the staff who need it, and working with reputable service providers. No system is perfectly secure, but we limit what we collect and protect what we hold.
10. Your choices and rights
You can ask us to:
- Tell you what information we hold about you.
- Correct information that is wrong or out of date.
- Delete information we no longer need to keep.
- Stop sending you marketing messages. You can opt out at any time, and we will still send you the messages necessary for a move you have booked.

11. Children
Our services are directed to adults arranging moves. We do not knowingly collect personal information from children under 13.
